Guest Services Executive

Job Description

We’re looking for a full time business administrator for our lively, creative, and busy office. We need someone with excellent customer service and time keeping skills with the ability to perform well under pressure servicing a wide range of stakeholders. An enthusiastic ‘can-do’ attitude is a must have, as well as being highly organised in managing high volumes of day-to-day tasks and projects.

As the face of our business, you’ll be the first point of contact for our tenants, clients, staff, and guests alike. You’ll need a friendly and approachable attitude and have an excellent telephone manner. You must also possess exceptional office management skills.

Customer Service

  • Behaving as a brand ambassador and provide a warm professional welcome to all visitors.
  • Delivering a consistently high level of concierge style customer service.
  • Responding efficiently to all internal requests and providing administrative support within tightdeadlines.

Workspace Support

  • Building strong relationships with tenants and establishing yourself as the ‘go to’ point of contact.
  • Supporting the community manager with workspace sales, tenant onboarding and ongoing tenant services.
  • Administration of tenant memberships and related IT software systems.

Office Administration

  • Keeping software systems up to date with relevant data and compiling reports as required.
  • Preparing documents by printing, copying, and binding

IT & Telecoms

  • Keeping software systems up to date with relevant data and compiling reports as required.
  • Preparing documents by printing, copying, and binding.

Finance Administration

  • Administration of purchase orders, invoicing & processing company credit card receipts.
  • Supporting administration for departmental and special project budgets.

Business Administration Skills and Qualifications

Office Management, Customer Service, Reception, Organisation, Proficiency in Microsoft Office Suite & Apple Products, Time Management, Written & Verbal Communication, Attention to Detail, Problem Solving, Multi-tasking, Order Management, Billing, Reporting, Researching, Ordering, Invoicing, Scheduling, Typing, Computer Skills

Experience:

  • Administrative: 2 years (preferred)
  • Mac OS: 1 year (preferred)
  • Customer service: 2 years (preferred)
